About the Pool Judge Secretaries Position
The Office of the Chief Justice is seeking two Pool Judge Secretaries on a 12-month non-renewable contract for the Gauteng Division of the High Court: Johannesburg. This role requires exceptional organisational, administrative, and communication skills to support the efficient functioning of the Judge’s chambers and court proceedings.
Minimum Requirements for Pool Judge Secretaries
- Grade 12 / Matric plus LLB Degree
- Valid driver’s licence
- Proven ability to type quickly and accurately (typing test required)
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong written and verbal communication skills
- Ability to work under pressure and meet strict deadlines
- Problem-solving, organisational, and planning skills
- Excellent interpersonal skills and professionalism
- Telephone etiquette and customer service skills
- Ability to maintain confidentiality at all times

Main Duties & Responsibilities for Pool Judge Secretaries
Administrative & Secretarial Support:
- Manage all incoming and outgoing calls, screening visitors, and handling enquiries.
- Schedule and diarise Judge’s appointments, meetings, and court appearances.
- Type judgments, legal documents, and correspondence; ensure accurate filing.
- Maintain court records, case files, and judgement registers.
- Prepare and distribute court rolls for Opposed Motion and Urgent Court matters.
Courtroom & Case Management:
- Ensure all court files are complete and ready before proceedings.
- Call cases, record parties’ names, and manage courtroom logistics.
- Administer oaths and handle exhibits professionally.
- Update and file heads of arguments from stakeholders.
Judgment & Documentation Handling:
- Send signed judgments and orders to typists, libraries, and relevant stakeholders.
- Notify involved parties of judgment hand-down dates via email or phone.
- Verify and return reviewed cases to the review clerk.
Travel & Logistics Coordination:
- Arrange travel and accommodation for the Judge.
- Manage vehicle bookings, servicing, and logbook submissions.
- Process claims for subsistence, travel, cell phone, and data allowances.
Stakeholder & Communication Duties
- Receive and assist visitors, ensuring professional and prompt service
- Liaise with stakeholders to confirm court dates and reserved judgment hand-downs
- Distribute court rolls and judgments to relevant parties and departments
- Verify and file Heads of Argument from stakeholders
Research & Compliance
- Conduct legal research as instructed by the Judge
- Maintain Judge’s library and update loose-leaf legal materials
- Ensure compliance with departmental policies, prescripts, and payroll sign-offs
