Minimum Requirements
- Education:
- Grade 12 certificate; and
- National Diploma in Office Management, Information Management, Public Administration, Business Administration, or equivalent (NQF Level 6).
- Experience:
- At least 2 years’ experience in Office Administration or Secretariat Services.
- Other Requirements:
- Valid driver’s license.
- Computer literacy (MS Word, Excel, PowerPoint, Outlook, Internet).
- Strong administrative, organisational, and communication skills.
Skills & Competencies for a Personal Assistant
- Knowledge of financial, provisioning, and human resource administration procedures.
- Experience in document tracking, storage, and retrieval systems.
- Good telephone etiquette and professional office manners.
- Understanding of public service legislation, policies, and procedures.
- Ability to operate office equipment (printers, scanners, projectors, etc.).
- Meeting coordination and minute-taking skills.
- Report writing, problem-solving, and presentation skills.
- Strong interpersonal relations and the ability to work under pressure.
- Accuracy and attention to detail in typing and administrative tasks.
Key Duties & Responsibilities
As a personal assistant you must:
- Provide clerical and administrative support to the Office of the Chief Director.
- Offer secretarial and receptionist services, including managing calls, visitors, and correspondence.
- Schedule meetings, manage diaries, and arrange travel logistics.
- Prepare and format documents, reports, and presentations for the Chief Director.
- Maintain filing systems (electronic and manual) to ensure proper record-keeping.
- Handle incoming and outgoing correspondence in line with departmental protocols.
- Monitor adherence to policies, prescripts, and office procedures.
- Act as a liaison between the Chief Director and internal/external stakeholders.
- Ensure confidentiality and professionalism in handling sensitive information.
Pre-Entry Assessment
Shortlisted candidates will be required to complete a practical exercise to test their technical and generic suitability for the role.
