Key Responsibilities

As an Administrative Officer – Logistics, you will play a critical role in supporting the NPA’s operational efficiency. Key responsibilities include:

  • Processing invoices and ensuring timely payments to suppliers and service providers.
  • Reconciling supplier accounts and resolving payment-related queries.
  • Tracking invoices and compiling weekly and monthly financial reports for management.
  • Conducting stock-taking, managing warehouse inventory, and updating bin cards.
  • Drafting letters, memoranda, and termination notices for lease contracts, ensuring compliance with deadlines.
  • Capturing and maintaining accurate lease information on the Dynamix System.
  • Providing administrative and provisioning support to internal business units.
  • Supporting the Supply Chain Management team to ensure compliance with PFMA, Treasury Regulations, and the Preferential Procurement Policy Framework Act.
  • Coordinating and assisting with audits, maintaining documentation, and implementing administrative improvements.

Requirements for Administrative Officer

  • Qualification: B Degree (NQF 7) or three-year Diploma (NQF 6) in Logistics Management, Purchasing Management, Supply Chain Management, Public Administration, or equivalent.
  • Experience: Minimum of three (3) years in logistics, administration, or payment processing.
  • Skills & Competencies:
  • Strong understanding of PFMA, Treasury Regulations, LOGIS, and supply chain management practices.
  • Excellent written and verbal communication skills.
  • Planning, organizing, analytical, and problem-solving abilities.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to act independently, professionally, accountably, and with credibility.
  • Attention to detail and strong organizational skills.
  • Ability to manage multiple tasks in a fast-paced environment.
    • PFMA, Treasury Regulations, Preferential Procurement Policy Framework Act.
    • Logistical Information System (LOGIS).
    • Strong written and verbal communication skills.
    • Planning, organising, analytical, and problem-solving skills.
    • Computer literacy, including MS Word, Excel, PowerPoint, and Outlook.
    • Demonstrable ability to act independently, professionally, accountably, and with credibility.
