About the Admin Clerk Role

We are seeking a detail-oriented and proactive Admin Clerk with experience in travel management within the public sector. This position requires precision in handling official travel requests, strong organisational skills, and a commitment to delivering efficient administrative support. You will be the key point of contact between the Department’s travellers and travel management companies, ensuring compliance with Public Finance Management Act (PFMA), Treasury Regulations, and internal travel policies.

Key Requirements for Admin Clerk

  • Grade 12 / Matric certificate.
  • Minimum of 2 years’ experience in travel management.
  • Practical experience in public sector travel processes.
  • Sound knowledge of PFMA, Treasury Instructions, and related legislation.
  • Excellent communication, interpersonal, and time management skills.
  • Strong problem-solving, organising, and planning abilities.

Duties & Responsibilities

  • Receive and verify travel requisitions from all travellers in the Department.
  • Check correctness and completeness of Transport Request Forms (VA26A) before issuing orders.
  • Communicate discrepancies to travellers and maintain accurate travel records.
  • Liaise with Travel Management Companies (TMCs) and follow up on vouchers and confirmations.
  • Compile daily travel and accommodation reports.
  • Capture bookings and amendments on the Travel Management System.
  • File and archive travel documentation by cost centre and financial year.
  • Process invoices and prepare BAS payment advices for verification.
