Personal Assistant Position Overview

We are looking for three highly organised, proactive, and professional Personal Assistants to provide executive-level administrative support to senior managers. This role requires excellent multitasking ability, strong attention to detail, and the capacity to handle confidential information with discretion.

Minimum Requirements

To be considered, applicants must meet the following criteria:

  • Qualification: National Diploma (NQF 6) or equivalent.
  • Experience: 3–5 years providing support services at a senior management level.
  • Technical Skills:
    • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
    • Strong project management and financial administration skills.
    • Understanding of relevant public service Acts, prescripts, and procedures.
  • Soft Skills:
  • Excellent communication (verbal & written).
  • Strong organisational and time management skills.
  • High level of reliability, integrity, and confidentiality.
  • Ability to work independently and under pressure.

Key Duties & Responsibilities

In this Personal Assistant role, you will be expected to:

  • Manage the Senior Manager’s Office:
    • Schedule and coordinate meetings, appointments, and travel arrangements.
    • Maintain and update the manager’s calendar and commitments.
  • Document & Information Management:
    • Handle incoming and outgoing correspondence.
    • Prepare briefing notes, reports, and meeting packs.
    • Ensure safekeeping of sensitive documents.
  • Meeting Coordination:
    • Arrange venues, prepare agendas, and record minutes.
    • Follow up on action items from meetings.
  • Financial & Procurement Support:
    • Process travel claims, S&T claims, and budget documents.
    • Monitor expenditure and assist with budget adjustments.
  • General Office Administration:
    • Maintain office supplies and equipment.
    • Liaise with internal and external stakeholders.
    • Provide reception and telephone support when required.
