Legal Secretary Role Purpose

The Legal Secretary provides essential secretarial, clerical, and administrative support to attorneys within the State Attorney’s office. This role is critical for ensuring that legal documents, court files, and case administration are handled efficiently, while also assisting with the coordination of meetings, correspondence, and office functions.

Key Responsibilities

As a Legal Secretary, you will be expected to:

  • Provide secretarial and administrative support to attorneys and legal staff.
  • Manage diaries, schedule appointments, and prepare agendas for meetings, functions, and conferences.
  • Draft, type, and format legal documents, correspondence, and reports.
  • Handle filing systems and ensure case documents are well-maintained.
  • Manage incoming and outgoing correspondence, including emails and telephone communication.
  • Assist with financial administration, including preparing documentation for payment processing.
  • Maintain confidentiality and ensure accuracy in all documentation.
  • Deliver general office support, including record-keeping, reception duties, and liaising with clients.

Minimum Requirements for Legal Secretary

  • Educational Qualification:
    • Grade 12 with Typing as a subject, OR
    • A Secretarial Certificate, OR
    • Relevant training/qualification that enables you to perform the work effectively.
  • Knowledge & Experience:
    • Familiarity with legal office administration.
    • Knowledge of government policies, prescripts, and office procedures.
  • Skills & Competencies:
    • Strong computer literacy (MS Office).
    • Excellent communication skills (verbal and written).
    • Planning and organizational ability.
    • Professional telephone etiquette.
    • Attention to detail, reliability, and high levels of integrity.
    • Strong interpersonal and problem-solving skills.
  • Contribute to the delivery of justice services in South Africa.
