About JICS – Regional Coordination and Oversight
The Judicial Inspectorate for Correctional Services (JICS) ensures oversight, compliance, and accountability across South Africa’s correctional facilities. The Regional Coordination and Oversight division supports effective management, monitoring, and reporting, providing essential administrative and secretarial support to Directors and senior officials. Job Summary – Secretary
The Secretary will play a critical role in supporting the Director of Management Regions, ensuring smooth office operations, managing communications, and coordinating schedules. This position demands strong organizational, interpersonal, and administrative skills.
The role also provides a platform to gain hands-on experience in government administration, public service operations, and coordination of high-level regional projects.
Key Requirements for Secretary vacancy
- Education: Grade 12 / Senior Certificate
- Skills & Knowledge:
- Administration and secretariat duties
- Computer literacy (MS Word, Excel, PowerPoint, Outlook)
- Strong verbal and written communication
- Ability to work under pressure and handle multiple tasks
- Experience: Previous secretarial or administrative experience advantageous
- Attributes: Professionalism, discretion, attention to detail, reliability, and flexibility
Key Duties and Responsibilities
As a Secretary you will have to:
Administrative and Executive Support
- Provide executive secretarial support to the Director of Management Regions
- Answer, screen, and manage incoming calls and correspondence
- Coordinate meetings, prepare agendas, and draft memorandums and reports
- Support the Director in preparing presentations, briefings, and official documentation
Document and Records Management
- Maintain and manage filing systems, both electronic and physical
- Organize, update, and retrieve documents and reports as needed
- Record and issue minutes for meetings and workshops
- Ensure proper documentation of all incoming and outgoing communications
Diary and Travel Management
- Maintain Director’s diary and manage appointments efficiently
- Arrange local and international travel, including bookings, itineraries, and accommodation
- Prepare and submit travel and reimbursement claims in line with policy
- Ensure adherence to deadlines and schedules for meetings and engagements
Office Coordination and Stakeholder Management
- Act as a liaison between the Director, staff, and stakeholders
- Manage office resources and coordinate support for team projects
- Ensure timely follow-ups on outstanding tasks and document requests
- Assist in organizing workshops, conferences, and other regional events
Additional Responsibilities
- Support regional projects by providing administrative guidance and documentation
- Prepare and circulate internal communications to staff
- Monitor compliance with office procedures and policies
- Perform any other duties as delegated by the Director or senior management
