Job Summary – Provisioning Administration Clerk
The Provisioning Administration Clerk will provide critical administrative support within the Supply Chain Management (SCM) unit. This role involves procurement clerical duties, asset management, logistical support, and record-keeping in accordance with public service regulations and supply chain policies
Key Requirements for Provisioning Administration Clerk
To qualify for Provisioning Administration Clerk you must have:
- Education: Grade 12 / Senior Certificate or equivalent
- Experience: Basic knowledge of supply chain management practices, procurement, and administrative processes
- Technical Skills: Computer literate (MS Word, Excel, Outlook), data capturing skills
- Legislative Knowledge: PFMA, PPPFA, Treasury Regulations, CET Act, assets management, disposal procedures, and other public service frameworks
- Competencies: Planning and organizing, attention to detail, communication (verbal and written), flexibility, teamwork, customer care orientation
Key Duties and Responsibilities
To be considered for Provisioning Administration Clerk you must be able to:
Demand and Acquisition Clerical Support
- Request and receive quotations from suppliers
- Place orders and track deliveries
- Provide secretariat or logistical support during bid consideration and contract conclusion
- Compile draft documents as required
Logistical and Asset Management
- Receive and verify goods from suppliers
- Capture goods in registers and databases
- Receive requests for goods from end users and issue accordingly
- Conduct spot checks and stock counts
- Maintain records, filing system, and communication channels
- Administer inventory, allocate assets according to policies
- Perform physical asset verification, barcoding, and updating of asset registers
- Handle asset disposal in compliance with guidelines
Administrative Support
- Provide general administrative support to the SCM unit
- Maintain proper documentation, ensure reporting accuracy, and assist with special projects as required
