Job Summary – Administration Clerk
The Administration Clerk will provide essential administrative and clerical support to the Inspections & Investigations unit. This position ensures efficient operations, effective communication, and the proper maintenance of records and documentation for the unit. Candidates with strong organizational skills, attention to detail, and the ability to multitask are encouraged to apply.
Key Requirements for Administration Clerk
- Education: Grade 12 / Senior Certificate
- Experience: Previous exposure to office administration and clerical duties preferred
- Technical Skills: Computer literacy (MS Word, Excel) and familiarity with Microsoft Outlook
- Competencies: Excellent verbal and written communication, organizational skills, ability to work independently and as part of a team
- Additional Requirements: Driver’s license is an added advantage; proficiency in English and at least one other official language
Key Duties and Responsibilities
- Record, organize, store, capture, and retrieve correspondence and data accurately
- Update and maintain registers for the unit, ensuring all information is current and complete
- Handle routine queries from internal and external stakeholders efficiently
- Make photocopies, send and receive facsimiles, and distribute documents/packages as required
- Maintain filing systems, ensuring documents are securely stored and easily accessible
- Facilitate communication and coordinate meetings and appointments within the unit
- Arrange travel and accommodation on short notice and manage associated administrative tasks
- Assist in the preparation of reports, presentations, and other documentation as required
- Provide general administrative support to inspection and investigation teams
- Support the unit in implementing compliance, governance, and record-keeping protocols
